Planning an international or extended domestic trip can be daunting enough, but keeping multiple reservations and travel provider information organized can be more so.

A trip-organizing app is my solution to avoiding the chaos of tracking complex itineraries. All my information is stored in one secure place and is easy to access during the planning process and while traveling.

There are several more reasons I find it critical to use a trip organizer app. Here, I’ll briefly share which app I use and why it helps me navigate my travels seamlessly.

The Trip Organizer App I Use

I use the Tripit Pro organizer app and love it. At first, I used the free version, and it was extremely helpful. However, for just $49 a year, I upgraded to the Pro version, which adds features like real-time flight alerts and travel resources.

I could use any trip-organizer app, but the key benefits of using one remain the same.

Here are the key reasons I find the app an essential tool for trip planning, organization, and travel assistance.

1. Clear, Concise Itinerary That’s Easy To View

If you’ve ever booked a complex travel itinerary with multiple airline tickets, hotels, ground transportation, and activities, you know how hard it is to keep all the information organized.

The most important reason I use a trip organizer is to keep all my trip information in one place. Being able to view my itinerary in chronological order and quickly access all the details saves time and reduces stress.

TripIt Screenshot
TripIt automatically organizes forwarded reservations into the trip itinerary. Screenshot: TripIt app

While the app is interactive online, I can access the information offline or without a network connection. I can also upload up to 25 documents to the itinerary.

2. Manual Input Isn’t Necessary

For most of my travels, I book using one of 2 premium travel rewards cards. Once I’ve booked my trip with either the Chase Sapphire Reserve® or The Business Platinum Card® from American Express and receive the confirmation email, I forward the reservation directly to TripIt.

TripIt automatically adds the information to an existing itinerary based on the travel date. It creates a new one if none exists.

3. It Supports All Types of Reservations

No matter the type of transportation involved, where I’m staying, or the activities I have planned, the reservation information can be added to my itinerary. I can either forward my reservation confirmation email or enter the information manually.

TripIt Management
TripIt organizes all types of transportation and activities. Screenshot: TripIt app

Addresses, phone numbers, reservation numbers, travel provider information, and any important details are stored and readily available when I need them.

4. I Can Share Itineraries With Friends and Family

TripIt allows me to create a link for sharing my itinerary. Friends and family who also have TripIt can see my itinerary listed among their list of trips on their app dashboard. Those who don’t have the app can receive a copy of the itinerary.

Sharing my itineraries saves time and provides my friends and family with the information they need to contact or find me, if necessary.

5. I Receive Real-Time Flight Alerts and Information

With TripIt Pro, I often receive gate change, flight delay, and cancellation notifications before I receive the alerts from the airlines. Real-time information helps me make any needed changes quickly.

TripIt Flight Alert

Real-time alerts help me make informed decisions. Screenshot: TripIt app

In addition to sending me valuable flight alerts, it shows me alternative flights should I need to change my plans. I also get airport navigation from gate to gate, check-in reminders, lower-fare alerts, help finding alternate flights, and uploading up to 25 documents per trip.

6. It Helps Me Keep Track of Expenses

Keeping track of my travel expenses is critical for managing my business. Since I may use several credit cards to book a single trip, consolidating those expenses can be challenging.

The app allows me to document the expense amount and the card used. When I use frequent flyer miles or points, I can also document that information. Once the trip is complete, I have all my expense information consolidated in a single place.

7. It Makes Trusted Traveler Applications Easy

As a frequent traveler, I consider Global Entry a necessity. However, completing the application and tracking down the last 5 years of trips can be challenging. In the past, I had to search through the pages of my passport to find the information. With the TripIt organizer app, I have all the information at my fingertips.

Global Entry 5 year travel
A trip organizer app keeps track of my travel dates and destinations. Screenshot: FormsPal Global Entry application

TripIt keeps a record of all my past trips in chronological order. I have used this record several times, most recently in response to unexpected questions at airline check-in (departing Thailand for Helsinki, Finland) about dates I had been in the Schengen Area. This was to ensure I had not exceeded 90 days in the past 180 days.

8. It Provides Valuable Documentation for Travel Insurance Claims

Since the app contains information on schedules, flight delays, and cancellations, it’s easy to find the details needed to submit travel insurance, airline, or EU261 compensation claims. I have done these successfully, and the information stored in the app made it much easier.

Of course, I may need to provide additional supporting documentation, such as receipts or letters from the airline explaining the reasons for delays and cancellations, but the core information is in the app.

Using a travel rewards card that offers travel insurance is imperative if you travel even occasionally. One of the best credit cards for travel insurance coverage is the Chase Sapphire Preferred® Card.

If you travel a few times a year and spend on dining, the card is likely to be a good choice, but it’s hard to justify if you don’t dine out or travel often.

Additional Trip Organizer Apps

In addition to TripIt and TripIt Pro, here are several trip organizer apps that also might work for you.

  • Roadtrippers: Best for planning and organizing road trips in the U.S., Canada, and parts of Mexico
  • Wanderlog: Easy to use and completely free trip organizer
  • Tripsy: Stellar organizer app for Apple-centric users
  • Tineo: An AI trip planning and itinerary management app

Final Thoughts

I am not sure how I would function without a travel organizer app. Perhaps I’d be once again carrying around a large packet of printed flight, hotel, and miscellaneous reservations.

Having all my trip information in one place, receiving important alerts as I travel, and having it stored for future reference make travel planning and execution so much easier.

If you don’t use a trip-planning and organizational tool, I highly recommend one. I love TripIt Pro, but whatever version you choose will no doubt change the way you travel.
